Office Engineer/Administrative Assistant

Responsibilities:
Provide comprehensive administrative support, including calendar management, meeting coordination, screen & prioritize email.
Handle information with an extremely high degree of sensitivity and confidentiality.
Anticipate the needs of the executives, ensuring they are prepared and briefed in advance of meetings and appointments.
Plan and coordinate internal and external meetings on behalf of the executives, including invitations, agendas, materials, meeting rooms, technical requirements, catering, etc.
Plan and coordinate all travel arrangements (domestic and international) for the executives.
Take minutes during meetings, including typing, proofreading, and distributing a wide variety of complex and confidential reports, letters, memos, and presentations; manage action items and follow ups.
Review, update, edit and format a variety of reports, presentations, letters, and documents.
Perform other duties as assigned.

Qualifications:
BA/BS degree.
5-10 years of experience as an administrative assistant supporting leaders at the executive level within a fast growing, fast paced professional environment.
Ability to put yourself in the executive’s shoes and lead the schedule in a way promotes the most effective use of time.
Personable and exhibits executive presence.
Meticulous with excellent organizational, and the ability to address new situations as they arise.
Strong critical thinking skills with the ability to work independently with general direction and guidance.
Ability to handle highly critical information with discretion, sound judgment, confidentiality, and the utmost integrity.
Exceptional written and verbal communication capabilities.
Strong capability working with office applications including Outlook, Google Drive, Word, Excel, PowerPoint, Zoom, Google Docs, Google Sheets, and Google Slides.

Compensation Range: $30.00 to $45.00/hr
