Workers Compensation Claims Coordinator
The Administrative Assistant III will work alongside the HR Analyst.
The duties include monitoring the email inboxes for HR Medical, Accommodations and Workers Compensation.
Forward escalated requests to Analyst or Manager as needed.
Assist with the Medical Surveillance program by handling the medical screening for pre-employment, annual exams, and follow-up appointments for safety-sensitive, commercial drivers, and van pool staff for all MWD locations.
Will provide general administrative support which includes heavy invoicing, reviewing, reconciliation, and redacting confidential information and working with accounting staff to ensure payments.
Send out forms and template letters via DocuSign, then download PDFs for files.
Handle the filing for the team, which includes both paper and electronic files.
CONFIDENTIALALITY & PROFESSIONALISM is required.
The admin will work with confidential documents daily including DOT drug testing, medical exams, ADA Accommodations and Worker’s Comp claims.
Prior experience is a must.
The admin is needed to support the overall medical surveillance by coordinating the medical screening exams, assisting with the DOT, overseeing drug testing and COVID tracking for the company to remain compliant.
Assist with DOT queries for commercial drivers and assist with scheduling site visits for TPA to conduct random drug testing. Schedule screening and testing for potential chemical exposures.
Monitor the email boxes for HR Medical and Accommodations and Workers Compensation, forward escalated request to Analyst or Manager as needed.
Collect and organize results, and work with Provider to develop system to ensure copies are provided to all employees.
Provide general administration support which requires scanning documents to create PDF files, organize filings, creating excel sheets, and assisting with other administrative support as needed.
Desires Experience Below:
A high school diploma or general education test (GED) and 6 years of relevant experience; or Associate’s Degree from an accredited college or university in a related field and 4 years of relevant experience; or Bachelor’s Degree from an accredited college or university in a related field and 2 years of relevant experience.
INTERMEDIATE KNOWLEDGE: MSOffice (EXCEL), Adobe, DocuSign.
KNOWLEDGE IN PROCESSING: Invoices (heavy) and HR database (i.e., Oracle) .
MUST HAVE: HR Medical and Worker’s Comp Screening
Personable, Team Player, Flexible, Multitask and handles pressure well.
Detail orient, Organized, Strong Written and Verbal Communication skills a must.
Valid CA driver license.

The hiring range for this position is $42 to $47 per hour. The base pay actually offered will take into account internal equity, and may also vary depending on candidate’s geographic region, job-related knowledge, skills, and experience amongst other factors
