HR Assistant I
Respond to basic questions related to EEO training, process and procedures.
Create EEO files as issues are raised and complaints are filed.
Provide copies of documents to investigators and staff as requested.
Provide reminders for required training using MyLearning system
Update logs and create reports as assigned.
Provide support to the EEO Manager which includes assisting with preparation of confidential correspondence, reports, spread sheets, tables and other policy related documents, setting up meetings, researching and assembling necessary background material and supporting information, organizing files and documents; maintains logs, record keeping related to training and other tracking and filing systems. Handles or processes other confidential information.
This position also prepares, proofs, copies, distributes, and tracks reports, documents, memorandums, forms, and other related documents used to respond to regulatory agencies.
Education and Experience:
Associate’s degree from an accredited college or university in a related field; or two years of relative administrative support experience.
Required Knowledge of:
Principles of data collection; principles and procedures of data entry and record keeping; English usage, spelling, and grammar and punctuation.
Required Skills and Abilities to:
Perform a variety of routine administrative support duties within an assigned area research, collect, and compile data supporting information requests from staff and/or the general public.
Respond to requests and inquiries from the general public; maintain comprehensive records, files, logs, listings and related data; assist in preparing and reviewing a variety of documents and correspondence for accuracy and completeness.
Understand and follow verbal and written instructions.
Communicate clearly and concisely, both verbally and in writing.
Operate office equipment including computers and supporting word processing and spreadsheet applications.
Establish and maintain collaborative working relationships with all levels within the organization, other agencies, regulatory agencies, special interest groups and the public.
Certificates, Licenses and Registrations Requirements:
Valid California Class C Driver License that allows you to drive in the course of your employment.
MUST HAVE’S are listed below:
CONFIDENTUALITY is a must.
Provide calendaring assistance for the Office of the Group and Section Managers.
Schedule meetings for management in TEAMS & ZOOM.
Excel (Proficient) will create tables and spreadsheets for EEO reports.
Maintain logs and Recordkeeping for the EEO Manager.
Work closely with internal client (employees).
Performs other related Administrative Assistant job duties as required.
