Facilities Coordinator
Job Overview
Supports the Department of Administration, Facilities Management Specialist, with Department of Administration Company-wide facilities initiatives.
Supports initiatives across assigned buildings that provide occupants with safe, secure, clean, and sustainable workspaces in which to conduct business.
Duties & Tasks
Facilities Support.
Conduct weekly site visits to assigned buildings, identify maintenance needs, submit work orders, track and report on building and workspace conditions.
Coordinate with Work Order Service Center and Building Stewardship to ensure work order requests are completed in a timely manner to established standards of performance.
Support vendor research, drafting of vendor scopes of work, and support vendor access to assigned buildings and ensure buildings are secure upon exit.
Support requests from Department of Emergency Services, draft facilities and floorplan updates, support security drills, support emergency response planning and drills as needed.
Support building access requests by coordinating key card and hard key requests, and Capture Tech key lock programming updates.
Request and track estimates for service and prepare purchase requests for goods and services supporting Department of Administration initiatives.
Support drafting and tracking and publishing of documents related to Department of Administration facilities policies, procedures, and protocols for assigned buildings.
Workspace and Occupancy Planning
Support review of workspace use, analysis of occupant needs, and development of occupancy plans and space reorganizations to accommodate evolving occupancy needs.
Support the determination of adequacy of building services, furnishings and fixtures and schedule space improvement projects and elevate staff concerns to supervisor as appropriate.
Support development and implementation of sequencing plans and workspace installations in accordance with approved plans. Arrange and facilitate moves and relocations. Collaborate with Communications team on developing communications plans pertaining to sequencing plans and workspace installations.
Support coordination of facilities improvements with third-party contractors and/or the Company’s Building Stewardship.
Maintain awareness of advancing technology, industry best practices and procedures, innovations in energy efficiency, sustainability and business practices which impact employee productivity, business efficiency, and external perceptions of the Company.
Support the procurement and inventory management of common area amenities including but not limited to kitchen supplies, appliances, coffee machines, equipment, white boards, floor mats, walk off mats, etc.

Ability to represent the Company professionally when interacting with guests, park visitors, Park Partners, and staff at all levels (entry level up to Chief level and Board of Directors).

Strong organizational and communication skills, ability to work independently, attention to detail, ability to prioritize time, manage multiple tasks concurrently and meet deadlines.
Demonstrated problem-solving skills and the interest and ability to learn new tasks quickly.
Strong computer skills utilizing MS Office Suite: Outlook, Word, Excel, PowerPoint, Teams, Adobe and an understanding of cloud-based document management systems.
Education/Experience:
High school diploma or GED is required, bachelor’s degree desired.
5 years’ experience in an in-office/campus environment desired.
Experience working with a diverse team and members of the public is preferred.
Valid Driver’s License Required.

Compensation Range: $35.00 to $44.83/hr
