4758 Assistant Project Manager

Responsibility is to provide oversight and management of projects and/or commitments involving the Transformation Coaches and the People Experience team.
Align priorities across a series of project assignments to deliver on the expected project outcome/success.
Create, maintain, monitor project plans, timelines, budget.
Organize, attend, and participate in project-related meetings as well as prepare participant communications and ensure meeting attendees are prepared.
Ensure deadlines are met by active follow-up with team members to track progress.
Document and follow up on important actions for each project.
Assess risks and issues and provide solutions, best approach, and opportunities for process improvement.
Make decisions about and implement process improvements continuously.
Facilitate meetings when needed or provide back-up support to Lead.
Prepare necessary materials for meetings, including but not limited to meeting agenda, presentations, supplies, and tools.
Undertake project tasks as required.
Foster effective team collaboration.
Prepare necessary project communications.
Plan and coordinate logistics for any workshops, offsites, team building events for each project.
Co-create objectives with participants.
Contract Management 10%
Responsibility is to manage coordination and execution of Contracts and Statements of Work with External Business Partners (BPs) for Transformation Coaches and People Experience team.
Act as a liaison with the Company’s Contracts Department, Finance, and external BPs to ensure contracts are processed on target and executed to the Company’s policy.
Manage external BP expectations and demands through the contract execution process/invoicing process.
Support smooth onboarding for external consultants.
Ensure external BPs adhere to the Company’s Travel Policy.
Monitor Purchase Order limits/budget.
General Support 20%: Ad-hoc operational and admin duties
Responsibility is to ensure Transformation Coaching is well integrated into the larger organization and external stakeholders to fulfill business commitments and provide proactive, forward-thinking support.
Proactively identify issues that could impact successful execution of Transformation commitments.
Proactively streamline and reduce unnecessary administrative or operational burden from team as possible.
Coordinate, plan, and schedule department meetings, events, and team building events.
Collaborate with and serve as a back-up to Operations Lead for key activities.
Act as knowledgeable go-to person for administrative/operational guidance regarding the Company’s Processes, resources, software, Google, and other business applications.
Maintain, coordinate and publish Transformation Coaching portals and websites.
Manage complex calendar requests for Head of CMG Coaching.
Exercise discretion with sensitive/confidential information.
